The Rise of The Virtual Office
Source: kaboompics.comWith advancement in technology, especially cloud technology, more and more companies are switching to a virtual office environment or at least hot desks. The idea is to save space, travel time and increase efficiency.
Source: zdnetThere is a rising trend in telecommuting worldwide. What drives the adoption of the virtual office?
Cloud computing gives easy access to all the applications on the go. Reliability is increased, cost is reduced and maintenance is the responsibility of the vendor. Gone are the days when you have to purchase your own server, install the software and configure it all. Now all users have to do is pay a monthly fee and can access their applications via the Internet. This has reduced the reliance on having to be in the office to access the intern services required for business to function.
Virtual Desktop
Virtual Desktop, such as solutions from Citrix allows a consistent and standardized environment, especially to secured content hidden behind a VPN, e.g. from a private cloud infrastructure. The advantage is that no applications have to be installed locally for any one user, which in turn reduces IT support costs. All clients can be thin clients and the MIS team doesn’t need to worry about hardware requirements, compatibility issues and other headaches. A worker can work from home or anywhere, on any device with concern.
Mobile Uptake
In the world of mobile first, mobile devices are increasingly common. Tablets, phones, etc are now all a part of work. Users want to be able to access applications on the go, whether travelling, during meetings or even after work. It’s increased productivity.
How Does It All Add Up?
These three factors contribute to a more mobile office where users no longer have to be in a confined space to collaborate. Communication software such as Skype and Slack play a vital role in keeping the virtual office connected. Video conferences and calls replace physical meetings. Physical office space, office equipment and furniture represents a huge cost. Virtual offices are able to reduce these costs, improve efficiency and employee satisfaction. It is also much easier to support a global presence and 24/7 operation without a significant investment.
Virtual offices also introduce a lot of business opportunities. Increasingly are outsourcing companies offering virtual assistants. These services replace your physical local workers in any job and can communicate to with you over the Internet. The advantage is a larger pool of talent to choose from and lower costs.
What About Hot-desking?
Hot desk is a recent trend adopted for larger businesses. It can be considered a hybrid approach. They still keep a physical office, but on a much smaller scale. Hot desk is a first come first serve principle whereby there are a fixed number of seats made available for whoever that comes into the office. There are no fixed desks or dedicated phones. Large companies are able to retain their prestige and physical presence whilst adopting a more agile workforce.
